Importing Data Into HaloCRM
The best place to start before completing any imports, is with a template spreadsheet to gauge the information needed for the given import.
You can download our example spreadsheets here.
Each spreadsheet has a set of instructions with how to import the data and outlines any actions that need to be completed.
If you do not require a field that is in blue, please leave it blank rather than delete it.
Once you've finished adding the data to the spreadsheet, you can go to the relevant module in the configuration page to import it onto your HaloCRM instance.
For example, for agent imports, I will go to Configuration > People > Agents and then press the 'XLS Import' button in the top right.
For other entities, the import location is generally found by going to the 'General Settings' within the relevant module on the configuration page.
Once you've selected the correct file you'd like to import, you have the option to select or deselect any values you don't want to bring into HaloCRM.
When you're ready, press start and the import will start to pull the data into HaloCRM.
The 'Result' column will then update with whether the import of each item has been successful or has failed. If failure occurs and you are unable to understand why, please don't hesitate to let one of our team know and we can have a look with you.
This process is similar for each type of import - please see the import locations of various HaloCRM entities below:
Actions: Configuration > Forms > General Settings > *scroll to the bottom* > Import Actions
Assets: Configuration > Asset Management > General Settings > Import Assets
Asset Types: Configuration > Asset Management > General Settings > Import Asset Types
Customers and Sites: Configuration > Contacts > General Settings > *scroll to the bottom* > Import Customer & Sites
Customer Contracts: Configuration > Contracts > *scroll to the bottom* > Import Customer Contracts
Items: Configuration > Items and Stock Control > Import Items
Knowledge Base Articles: Configuration > Knowledge Base > *scroll down to the bottom* > Import Articles
Supplier Contracts: Configuration > Contracts > *scroll to the bottom* > Import Supplier Contracts
Suppliers: Configuration > Suppliers > Import Suppliers
Tickets: Configuration > Forms > General Settings > *scroll to the bottom* > Import Tickets
Contacts: Configuration > Contacts > General Settings > *scroll to the bottom* > Import Contacts
All imports other than Tickets, Actions, Client & Supplier Contracts and Knowledge Base Articles can also be used to update existing information - you just need to set a Unique Identifier in the Import set-up to ensure the existing records are matched. Please see the example below for a Clients Import:
The unique identifier here is 'Name', so if the name matches correctly between the spreadsheet and Halo, instead of a new record being created, that existing record will be updated.
